The vault that files itself. SecureVault Docs is being rebuilt and isn't available yet; this page covers how it will work and the security model behind it.

Straight up: SecureVault Docs is paused while we rebuild it. We'd rather show you nothing than a mockup, so there's no live product to document today. How it will work

Documents collected, organized, and secured automatically, without the email back-and-forth.

Auto-filing

Uploads get read, named, and sorted into Client / Year / Category folders automatically. Checklists show what's in and what's still missing.

OCR and smart labels

Text is extracted from every document and labels are applied automatically, so a scanned W-2 files itself as a tax document without you touching it.

Deadline detection

The vault identifies due dates, expirations, and renewals inside your documents (tax filings, lease renewals, licenses, insurance) and reminds you before they bite.

Collection without chasing

Document requests with automatic reminders, so clients send what's missing without you writing a single follow-up email.

Client portals

Clients get a simple, secure place to drop files: a PIN, a checklist, and a drag-and-drop upload box. No accounts to create.

Create a portal link from any client folder, set a 4-6 digit PIN, and share it by email or SMS.

Auto-expiry

Links expire on your schedule: 24 hours, 7 days, 30 days, or a custom date. Extend or revoke access any time.

File request checklists

Attach a checklist (like a tax-season document list) so clients see exactly what to upload and what's required. Save checklists as reusable templates.

The security model

Built for businesses that handle sensitive files: accountants, property managers, contractors, and legal teams.

Encryption

AES-256 encryption at rest and 256-bit SSL/TLS in transit: the same grade banks use for sensitive files.

Canadian data residency

Data is stored in Canadian data centers, consistent with the rest of the OMGSystems platform.

PIPEDA and GDPR alignment

The vault is designed to meet PIPEDA requirements and be GDPR-ready, with audit trails that support compliance reporting.

Audit trails

Uploads, views, downloads, and shares are logged with who, when, and from where, including portal PIN attempts. Logs export as PDF, CSV, or JSON for regulators.

Security alerts

Proactive monitoring flags failed PIN attempts, unusual download volume, and new-device access, with thresholds and notification channels you control.
